June Board Meeting Minutes

The Board meeting was called to order at 7:33 PM on 6 June 2005 by Chairman Sasha Lanz.

Treasurer’s Report: John Dorety distributed various financial reports. The Balance Sheet shows that we have assets of about $95,000.

There was some discussion on how to term the method we use to make sure that the club has enough money to cover the occasional loss, and to fund the non-revenue-generating activities like administration, membership, newsletter, etc. Do we ask each event to generate a “profit,” “contingency monies,” “sinking fund,” “operating fund”, or what? Phil Osborne, in his ARE-Solo hat, said that Solo did not raise fees last year, but will this year. It was suggested that asking Solo and Rally to run their activities so that income is about 10% over expenses makes sense….but Race is quite a different activity, and a set percentage goal just doesn’t make sense. Race is where the big losses might be, so a bigger contribution to the “contingency fund” is in order whenever possible.

Race Report: The “Profit & Loss” from both the Polar Prix and Sunburn were presented. The Polar Prix figures show a net of $8900.  The statement for Sunburn shows that the Net Income was about $4458, leading to the conclusion that we should have charged $10 more per entry. ARE-Race Bert Siebert suggested that we might have a Double-Regional/National event next May. It was noted that our race will NOT fall on Mothers Day next year. The event was well received, with no serious incidents, and should help us start building a good reputation for the event. It was stated that we need tradition, need to improve some details, and it will get even better.

Race plans: Double-Regional race in October, and a Double-School in December.

Solo I has been moved into the SCCA Racing Department. Mineral Wells might support one. The rent is only $2-300 per day. We could also do a Solo I at MotorSport Ranch. We probably ought to do one at MW first, and if there is enough competitor interest, try MSR.

Could we do a PDE at MSR. Would the circuit have to be checked by a Safety Steward?

Regardless of where Solo I falls in SCCA, we would need the support of the Solo group. Phil will check with them at the next Solo Committee meeting. Robey will check with Jack at MSR to see if we could ever get a date. Solo I / PDE weekend? Bert will handle any Solo I Sanction request.

The Mini-GP will be June 18 (Saturday) at Greenville. Workers needed.

Solo Report: The June Solo II will be the annual charity event. The Divisional will be August 14 at Mineral Wells.

Rally Report:  The Rally to the Race had 36 entrants. We will be working with the Dallas Sports Car Club to stage a similar rally, pitched to the same crowd, on July 23.

The meeting was adjourned at about 9:15.

Respectfully submitted, Sasha Lanz, acting Secretary.
